Reporting directly to the Executive Assistant, the Office & Accounting Assistant is responsible for providing high-quality administrative support, as well as various accounting duties and is the first point of contact within the office environment. The incumbent will respond to customer inquiries, acts as the go to person for the corporate office team and assist in the smooth functioning of office operations.

Duties and responsibilities include but are not limited to the following:

  • Ensure all calls are answered, and visitors are greeted in a timely and professional manner
  • Provide general administrative support, including filing, shredding, photocopying and preparation and maintenance of documents, memos and spreadsheets
  • Provide general accounting support to the finance team, including expenses reports, bank deposits, reconciling of petty cash receipts and accounting duties as assigned
  • Input invoices into JD Edwards and filing of paid invoices
  • Contact vendors to verify EFT bank information and manually add to spreadsheet, and archive the paper information
  • JD Edwards National Address Book setup of new customers, sites and vendors and changes as required
  • Meeting and conference preparations including printing and compiling meeting documents, catering needs and boardroom booking and set-up
  • Prepare and sort incoming and outgoing mail, packages and other correspondence
  • Schedule and prepare necessary waybills, documentation or packaging for courier shipments
  • Maintain copiers and troubleshoot any issues, call for service and order/replace toners as required
  • Collect and place office supply orders as required and distribute when received

EDUCATION AND SKILL REQUIREMENTS

  • A minimum of 2 years of relevant experience
  • Strong working knowledge of Microsoft Office (Outlook, Word, Excel)
  • Excellent organizational and time management skills
  • Ability to maintain a high level of accuracy in preparing and entering financial information
  • Experience working with JD Edwards system would be considered an asset
