Black & McDonald’s Power Generation team is growing! The Administrative Assistant position is located at our office in Tiverton, Ontario and reports directly to the Operations Manager.

The Administrative Assistant is responsible for a wide variety of administrative duties in support of the Operations and Commercial Manager. The Administrative Assistant is also required to maintain confidentiality and professionally interact with employees, management and the public. This is a full time permanent opportunity.

Duties and Responsibilities:

  • Provide direct administrative and office management support to all members of the Division Team, as directed
  • Maintain work schedule and calendar of Operations Manager
  • Prepare travel schedules, book travel arrangements, and make reservations for management, as directed
  • Coordinate logistics of Division programs including meetings, seminars, workshops, special projects, and events
  • Review all documents, reports, and correspondence prepared for management signatures for format, content, grammar, spelling and make edits as necessary
  • Prepare draft reports, background documentation, and research
  • Receive and screen all inbound telephone calls, e-mails, and visitors
  • Refer and/or redirect calls, e-mails, or visitors as required
  • Coordinate activities related to new hires within the Division including touring office, issuing company property, introduce to staff, etc
  • Troubleshoot and/or escalate office administration issues
  • Receive incoming mail
  • Review, evaluate, and distribute priority correspondence
  • Complete timesheets, expense reports, and other related duties
  • Prepare and review presentations
  • Present a positive and professional image of the Division to all visitors, suppliers, inquiries, and other persons
  • Issue and track temporary laptops within the Division
  • Order and maintain stock of office supplies

  • Completion of secondary school
  • Completion of a college program in Business Administration or related field is required


  • 5-7 years' experience in an Administrative role preferred.


  • Computer Literacy and Intermediate proficiency; Microsoft Word, Outlook, Visio and Excel
  • Shall be a competent person as defined in the Occupational Health and Safety Act
  • Analytical with strong problem solving skills
  • Effective communication, presentation and written skills
  • Knowledge of applicable laws, government regulation and documentation requirements to the role
  • Demonstrated ability to adapt quickly to change
  • Proven ability to work effectively both independently and in a team based environment
  • Demonstrated willingness to be flexible and adaptable to changing priorities
  • Strong multi-tasking and organizational skills
  • A Security Clearance will be required
