The Site Clerk will be responsible for completing the daily tasks associated with the day to day activities of our onsite office. The Site Clerk will report to the Payroll Supervisor.

The Site Clerk opportunity is an 18 month contract.

Duties and responsibilities include but are not limited to:

  • Understand project-specific filing systems, interfaces and general document control processes and manage the flow of information accordingly
  • Administer the Mitrefinch (MF) Job Clock system per the client’s expectation and B&M’s agreement thereof
  • Register and enrol new (or existing) hourly employees in MF Job Clock
  • Terminate/transfer employees in MF Job Clock
  • Input exceptions into MF Job Clock and file electronically
  • Input adjustments to MF Job Clock as needed per process
  • Run daily, weekly MF Job Clock reports and distribute to users
  • Follow up with site supervision for required Exception reports
  • Creating Station Condition Reports (SCR’s) and Black & McDonald Reporting for disruptions in the MF Job Clock
  • Create discrepancy reports for fob clock compared to timesheet and send to supervisors bi-weekly
  • Make deductions on timesheets
  • Validate OPG rejections list and provide necessary documents
  • Adhere to record retention policies and standards and comply with filing system
  • Maintain the projects library of documents (including engineering, architectural, procurement and construction documents)
  • Distribute, retrieve and archive documents
  • Communicate relevant information to internal and external stakeholders when required
  • Understand and comply with project retention policies and standards
  • Project level attendance (site accounting) and project payroll
  • Occasionally record Meeting Minutes
  • Other Project Level Administrative requests as required

EDUCATION REQUIREMENTS

  • Completion of Grade 12
  • Completion of a College program or related training an asset

WORK EXPERIENCE REQUIREMENTS

  • 1-3 years of previous administrative experience

SKILLS, ABILITIES, AND OTHER REQUIREMENTS

  • Intermediate experience with Microsoft Office (Word, Excel, Outlook)
