The Billing Administrator position is located in Vancouver and reports directly to the Service Division Manager.

The Billing Administrator is responsible for performing the processes and procedures associated with customer billing, ensuring customers are billed accurately and in a timely manner, completing customer collections efficiently, as well as performing various accounting and administrative duties, to contribute to the overall success of the organization.

  • Billing/invoicing of work orders
  • Accurate invoicing of customers, including timely review, compilation and distribution of invoices
  • Preparing documentation to assist with Accounts Receivables/Payables (i.e. Invoices, Purchase Orders) etc.
  • Coding and reconciling payments to JD Edwards system
  • Reviewing and clearing outstanding purchase orders not received directly with vendors
  • Communicating daily with various staff/managers on billing requirements and approvals
  • Prepare work order inquiry reports for all invoiced jobs for margin review
  • Review service reports for truck stock relief entries, including equipment recovery
  • Resolving issues on work order exceptions report as required
  • Ensure JD Edwards billing workfile is reconciled regularly and kept current on a monthly basis
  • Maintain an organized filing system for both hardcopy and electronic records
  • Managing customer accounts including reconciliation, collections, dispute identification and resolution
  • Working with management & finance to communicate key A/R information such as account status
  • Work with managers and administrative staff on processes that will improve the timeliness of billings and collections
  • Investigate and resolve customer inquiries with confidentiality and in a timely and professional manner
  • Provide backup support for Service Coordinator/Contract Administrator as required

EDUCATION REQUIREMENTS

  • High School diploma with post-secondary education in business administration or related field is preferred

WORK EXPERIENCE REQUIREMENTS

  • 2-4 years previous billing experience is an asset

SKILLS, ABILITIES, AND OTHER REQUIREMENTS

  • Proficiency in Windows based environment with strong knowledge of Microsoft Word, Excel and Outlook
  • Previous experience with proven ability to learn ERP applications, i.e. JD Edwards, SAP, etc
  • Excellent communication skills both verbal and written; able to communicate clearly and effectively and relate to technicians, customers and co-worker needs
  • Excellent organizational and time-management skills
  • Maintain a professional demeanor at all times with fellow employees and customer
  • Good attitude and willingness to learn
  • A team player, committed to working in a quality environment
