Black & McDonald’s Southern Ontario FMO team is growing! If you are an analytical, organized, and detail-oriented professional searching for the opportunity to build a solid foundation for your career, this position is for you. The FMO Site Administrator is located in Toronto, ON and typically reports directly to the Project Coordinator.

The FMO Site Administrator provides administrative support to the Facilities Management & Operations group. Hours of work can range from 7 AM to 5 PM.

The FMO Site Administrator will be responsible for the following duties and responsibilities:

  • Cost control
  • Manage JDE Computerized Maintenance Management System (CMMS)
  • Handle customer calls in a polite and efficient manner
  • Assist with cost control
  • Data entry into the ERP system (including weekly payroll)
  • Manage client-based Work Order Management System
  • Assist Head Office with monthly client invoicing
  • Assist Head Office with year-end duties
  • Prepare monthly accrual costs for clients
  • Documentation control—photocopy and collate documents for distribution, mailing, and filing
  • Support the manager with planning and scheduling
  • Assist with material/equipment procurement
  • Prepare productivity reports
  • Other duties as assigned

EDUCATION REQUIREMENTS

  • Post-secondary education in a related field

WORK EXPERIENCE REQUIREMENTS

  • At least 2 years of experience in site administration
  • Experience working in facilities management or in the construction industry is preferred

SKILLS, ABILITIES, AND OTHER REQUIREMENTS

  • Experience with JD Edwards is an asset
  • Proficient in Microsoft Office applications including Word and Excel
  • Must be open to working shifts between the hours of 7 AM to 5 PM, Monday to Friday
  • Access to a vehicle is preferred as some sites may not be accessible by transit
  • Effective written and verbal communication skills
  • Excellent interpersonal skills
  • Ability to work independently and with minimal direction
