Position Summary :

The Facility Manager oversees the facility management and operations of King Edward Memorial Hospital, Acute Care Wing in Bermuda. The Facility Manager is responsible for managing and maintaining customer facilities, including managing building staff and vendors, overseeing capital lifecycle projects, smooth operation of the plant, and maintaining customer relationships. In addition, the Facility Manager will ensure profitability through effective planning, management, and development of effective controls and procedures.

Duties & Responsibilities:

• Manage the total overall operation of the facilities in the areas of safety, productivity and efficiency to the standards of the contract and to the satisfaction of the customer.

• Ensure constant and effective communication- Timely response to customer emails, notice of contractor work, stakeholder management, incident reporting etc.

• Develop, enhance and maintain an expandable comprehensive maintenance program, which will include training maintenance personnel and establishing an innovative preventive maintenance program.

• Effectively manage employee performance utilizing appropriate processes including establishing objectives, coaching, mentoring and corrective disciplinary action.

• Responsible for solving problems and/or conflicts in a professional manner while maintaining open and timely communication with the customer.

• Responsible for technical troubleshooting, managing equipment failures, contingency planning, risk mitigation and implementing temporary measures

• Interface with internal and external customers ensuring effective communications regarding status and priority of work.

• Assist Facility Supervisor to develop and implement shift schedules while managing labour resources to ensure that the appropriate staffing levels are maintained.

• Manage and coordinate all utility building activities (such a boiler, emergency generators, chillers, electrical units, etc.)

• Prepare proposals for additions, deletions and changes to the contract scope as requested by the customer or submit innovation proposals for any changes that would enhance the effective performance of the facility.

• Track, analyze and trend contract and project costs.

• Provide accurate invoicing and budgets based on the contract type, terms and conditions.

• Responsible for the development and management of operational and capital projects including submission of 5 year and annual lifecycle plan.

• Plan and prepare project schedules, milestones and budgets while monitoring progress against established schedules.

• Establish and maintain strong, collaborative relationships with vendors and other third parties to understand challenges and opportunities.

• Ensure the timely exchange of information and the budgetary and service level requirements are met or exceeded.

• Prepare and negotiate contracts, renewals, changes, and additions to contractual agreements with subcontractors.

• Adherence to and implementation of health, safety, quality control and environmental policies and programs

• Maintains and manages inventory and orders equipment, materials, and supplies for the maintenance department.

• Review and approve all expenditures for materials, equipment, tools, supplies and subcontractors.

• Prescreen candidates, conduct interviews for recruitment of staff and assist in filing recruitment needs.

• Attend client meetings, schedule/run multi-disciplinary meetings with customer for invasive work and conduct internal operations meetings weekly.

• Monthly contract reporting including Performance Monitoring Report, Safety Report and Financial Report.

• Facilitate toolbox talks, safety audits, daily staff meetings in the absence of the Facility Supervisor.

Education & Skill Requirements:

• 5 years of experience in the facility management industry, including experience as a facility manager.

• P3 experience is preferred.

• Experience with healthcare facilities, project management and hydro/water/HVAC is considered a strong asset.

• Must have a strong knowledge of building electrical, mechanical, HVAC and building structural systems.

• Experience in maintaining and managing all building services utilizing contractors and in-house staff.

• Experience implementing process & procedural improvements.

• Knowledge of Local and National Electrical Codes as well as National Building Code and National Fire Code are required.

• Excellent time management skills; ability to shift priorities on an ad hoc basis and flexibility with working hours

• Must maintain a valid driver’s license.

• Must obtain and maintain necessary security clearances.

• Must be able to respond to facility emergencies after hours.

• Travel may be required occasionally.
