The Payroll/Accounts Payable Clerk is responsible for processing weekly payroll for hourly employees and vouchering and paying all Accounts Payable invoices and expenses in a timely fashion according to the required regional timelines and within the pre-set Corporate Business Processes.

Duties and responsibilities include but are not limited to:

  • Perform weekly payment cycle for both union and non-union hourly employees
  • Maintain employee files with a high degree of accuracy
  • Pay Government remittances and deductions related to payroll
  • Remit union dues and deductions monthly
  • Process year-end duties including issuing T4s and reconciliations
  • Respond to internal customer inquiries regarding time entry and pay stubs
  • Verify and match Purchase Orders to applicable Invoices
  • Confirm coding on standard vouchers
  • Voucher employee expenses
  • Follow up on old credits for payment and follow up and settle old credits with vendors
  • Accurately issue cheques and reconcile payments within the required timelines
  • Scan and index invoices into JD Edwards
  • Identify and maintain various GL accounts related to additions, changes, regional differences etc.
  • Maintain informational spreadsheets for unions, utility vendors, month end invoices and year-end accruals
  • Perform associated clerical duties including word processing, file and record systems maintenance, faxing and photocopying
  • Attend related meetings and record, transcribe and distribute minutes when required
  • Verify that vendors are in good standing with regards to WCB and insurance certification prior to payment
  • Develop and maintain strong customer relationships by responding to customer inquiries and resolving any issues in a courteous and prompt manner

EDUCATION REQUIREMENTS

Post-Secondary Education in

  • Completion of a college program in accounting or related experience would be considered an asset

WORK EXPERIENCE REQUIREMENTS

  • 3-5 years of accounts payable experience or payroll experience preferably with unionized exposure

SKILLS, ABILITIES, AND OTHER REQUIREMENTS

Proficient knowledge and understanding of:

  • Effective verbal and written communication and the ability to clearly and effectively relate to tradespeople, managers, customers and co-workers
  • Above average skills in Microsoft Office Applications
  • JD Edward experience would be considered an asset
  • Demonstrated ability to work well in a deadline driven environment
