The Environmental Services Supervisor works in conjunction with the Director of Environmental Services to ensure that Maintenance, Housekeeping, and Laundry Services of the Lodge are provided with trained, efficient staff and conduct Environmental Services according to the established policies and procedures of the Department and in accordance with Occupational Health and Safety Act, Ministry of Health Standards, Ministry of Labour and any other legislative requirements.

This position reports directly to the Director of Environmental Services.

DUTIES & RESPONSIBILITIES (not limited to):

In conjunction with the Environmental Services Manager:

  • The Environmental Services Supervisor supervises all Environmental Services Maintenance I and II, Housekeeping and Laundry Aides reporting to him/her.
  • Maintain a good knowledge of the Ministry of Health standards and criteria for resident care, programs and services in LTC Facilities.
  • Recruit, screen, employ, promote, discipline and terminate Environmental Services staff as needed, according to established policies and procedures and in keeping with the Employment Standards Act.
  • Completion of all Environmental Services documentation and records keeping.
  • Conduct all TQM Environmental Services Audits to ensure compliance to Copernicus Lodge / Ministry of Health Standards.
  • Management of Environmental Services
  • Delegate responsibilities to appropriately qualified staff
  • Monitor that staff are carrying out their jobs in a way that reflects the philosophy, objectives, policies and procedures and standards of services of the Environmental Services Department
  • Monitor job descriptions/work analysis annually or as required.
  • Monitor scheduling / call in procedures of Environmental Services staff with Human Resources “Scheduler”.
  • With the Director of Environmental Services, hires probation, counselees, and disciplines and terminates all Environmental Services staff.
  • Conduct and document monthly staff meetings to maintain open lines of communication.
  • Monitors policies and procedures for all aspects of Environmental Services.
  • Provide practical and functional guidance to staff.
  • Monitor and document work practices of the Environmental Services Department.
  • Audit work performance of employee and report problems to the Environmental Services Manager.
  • Ensure that an Environmental Services staff dress code is maintained and professional behavior of staff is upheld.

Environmental Services Fiscal Budget

In conjunction with the Environmental Services Manager:

  • Monitor Environmental Services spending.
  • Maintain a record of expenditures.
  • Strive to control costs and spending in the Environmental Services Department.
  • Monitor inventory, and purchasing in conjunction with the procurement department.
  • Discuss in advance all expenditures with the Environmental Services Manager.

Recording and Charting Accountability

  • Monitor all Environmental Services incidents through appropriate documentation and follow-up.
  • Ensure maintenance of all required documentation and records according to Ministry of Health requirements.
  • Perform quality assurance audits as dictated by the T.Q.M. Program.
  • Maintain daily / monthly / annual maintenance, laundry and housekeeping utilization statistics and documentation.
  • Maintain appropriate and concise documentation in regard to employment records and files.

Staff Development and Education

  • Supervise and monitor orientation of new Environmental Services personnel.
  • Provide opportunities for full and part-time staff to attend conferences, seminars and workshops.
  • Ensure the competency of Environmental Services staff by a process of audits for the performance of specific skills/tasks.
  • Arrange and/or support in service Education.
  • Maintain good standing for membership with the Ontario Healthcare Housekeepers Association.
  • Attend educational and learning opportunities within the community to keep abreast of new developments within the field of Environmental Services.

Interdisciplinary Relations and Communication

  • Communicate regularly with other Department Managers upon advisement of the Director of Environmental Services through formal and informal meetings.
  • Maintain open lines of communication with the Environmental Services Manager. Relay all pertinent matters to each.

In-House Committees

  • Participate actively on the Total Quality Management Committee through completed documented audits on all aspects of Environmental Services operation.
  • Participate as a member on other committees related to Environmental Services.

Nurturing Life Committee

  • Actively support and participate in the Eden Alternative Program within Copernicus Lodge.
  • Promote a humanizing environment where resident life revolves around close and continuing contact with children, plants and animals.
  • Encourage and support resident’s participation in grooming and feeding pets, visiting with children and caring for plants.
  • Ensure that the Weekly Eden Alternative Duty Schedule is completed in accordance with the posted schedule in the RHA.
  • Participate as needed on the Eden Alternative Advisory Committee devising and implementing new strategies for the improvement of our Human Habitat.

Resident/Family Relations:

  • Monitor resident/family and staff satisfaction of quality of Environmental Services and report to the Director of Environmental Services.
  • Act as liaison between the Environmental Services Staff, the Environmental Services Manager, Administration, and Residents and Families.
  • Participate in the admission orientation process of new residents and their families.
  • Explain policies and procedures to families where necessary.

Sanitation/Safety:

In conjunction with the Environmental Services Manager:

  • Oversee an efficient, safe, secure, clean environment during all aspects of Environmental Services operation.
  • Conduct regular safety meetings with staff.
  • Ensure all staff is properly trained in the area of chemical use as it relates to MSDS and WHMIS and Code Brown procedures.

General Administration:

In conjunction with the Environmental Services Manager:

  • Assess, recommend revisions for forward planning of the department with consultation from administration.
  • Participate in departmental managers' meetings.
  • Participate in departmental review meetings.
  • Complete operation/services reports.
  • Maintain good interdepartmental and external communication.
  • Monitor Ministry of Health Compliance Standards and practices.
  • Perform any other duties as required and/or assigned.

Eden Alternative:

  • Actively support and participate in the Eden Alternative Program within Copernicus Lodge.
  • Promote a humanizing environment where resident life revolves around close and continuing contact with children, plants and animals.
  • Encourage and support resident’s participation in grooming and feeding pets, visiting with children and caring for plants.

Occupational Health & Safety

  • Comply with all regulations under the WSIB Act. Ensure that all staff injuries are reported promptly.
  • Ensure annual WHMIS, Code Brown training is provided to Environmental Services staff, and maintain documentation – get staff signatures as proof that all staff has received training.
  • Ensure that all Environmental Services staff carries out their duties in a safe manner to eliminate the risk of work-related accidents/injuries.
  • Report all safety hazards discovered in Copernicus Lodge to the appropriate Department Manager and ensure that all Environmental Services staff is instructed to do the same.
  • Identify tasks that are a potential safety concern for each position within the department to the Director of Environmental Services completion of Physical Demands Analysis forms.
  • Ensure that each employee is made aware of the job tasks that are a potential safety concern and provide them with training that specifically addresses these tasks and how to perform them safely.

QUALIFICATIONS:

  • A minimum of Grade 12 education
  • Certification Training for Occupational Health and Safety
  • A diploma/certificate from the Ontario Hospital Association with the knowledge of administering all aspects of Environmental Services within a healthcare facility
  • Minimum 2 years experience of Environmental Services leadership in a long-term setting preferred
  • Effective verbal and written communication skills with individuals of varying levels of education and diverse backgrounds
  • Proven management skills in personnel selection, training and development
  • Strong organizational skills for planning, developing and implementing programs and procedures
  • Able to maintain a position of trust and confidentiality
  • Knowledge of accepted housekeeping and laundering methods and equipment
  • Respect the goals, philosophy and objectives of the home
  • Pleasant personality and enjoy working with people
  • Neat in appearance
  • Must be respectful and professional to all residents, staff, and families
  • Fluency in Polish and an understanding of Polish culture is a distinct asset
  • Previous experience working in a unionized environment is an asset
